I built Jeff VA Monitoring as my own management system, bringing the job search and day-to-day client work into a connected workspace.
Applications, follow-ups, client requests, deadlines, and payments all need attention. Keeping them in separate places makes it harder to see the next step and connect a message to the work it creates.
Create one personal workspace for tracking opportunities and managing client work, with a clear view of the records, tasks, and follow-ups that need attention.
This is a personal project built for my own management needs. The public product page also introduces the workspace to virtual assistants and freelancers balancing a job search with ongoing client responsibilities.
The workspace brings together six areas:
AI assistance supports research, application insights, task drafting, and progress reviews. Automation connects email requests to tasks, schedules follow-ups, updates applications from replies, and supports scheduled backups.
The web workspace and Android companion connect to the same account. The public previews use sample data to explain the workflows; connected features depend on sign-in, connected services, and their availability.
I designed, developed, and published Jeff VA Monitoring as my own management system. Its public website explains the workspace and shows how job-search records and client workflows can connect, from an incoming email to the next action.
Case Study
A brand website and personnel management platform connecting recruitment, personnel files, deployment, and equipment records—with mobile-friendly dashboards for security personnel.
Client confidentiality. I treat client data as confidential, so case studies use sample data and anonymized details.
The agency relied on paper-based applications and deployment records, had no website, and used traditional marketing. Applicant requirements, personnel files, client records, and issued equipment were managed manually, making information difficult to find and keep organized.
Bring agency operations into one organized system while giving security personnel a clear, mobile-friendly way to monitor their own information and stay updated.
Applicants and security guards register, complete applications, upload individual requirements, and check application status, interview schedules, and deployment information.
Agency administrators review applications, manage personnel and clients, track issued equipment, update the public website, and prepare reports.
Personal dashboard. Applicants and guards can see their status, contract, interview schedule, and deployment details. Separate document uploads help administrators see which requirements are complete or missing. The application form warns before leaving unfinished work.
Admin dashboard. Task-based navigation groups clients, pending, approved and rejected applicants, security personnel, and equipment. Filterable charts summarize activity across date ranges.
Personnel, clients, and equipment. Guard records connect assignments, duration, and deployment status. Client lists include year and active status; equipment records link issued firearms and uniforms to personnel.
Reports and updates. Printable deployment-history reports, applicant status emails, editable website pages, and scheduled cleanup of rejected records support routine administration.
The project brings the agency’s brand online and organizes applicants, guards, clients, deployments, and equipment within a digital system. Administrators can review records by status, while security personnel have a personal dashboard for their information and updates.
Task-based navigation keeps routine work easier to follow for non-technical administrators. Handling personnel documents also makes access control and data retention important parts of ongoing development.
Planned improvements: environment-based secret management, stronger Firestore security rules, audit logs, live notifications, broader search, and support for office staff. These are future improvements, separate from the features described above.
